Creating a Quotation / Sales Order
Overview:
A Quotation or Sales Order is a document generated by the seller covering the products or services they intend to sell to the customer. A quotation can be converted into a confirmed Sales Order once the customer accepts the details. They can be entered from any location and can be configured to match your individual requirements .
Process
1. Menu Screen: SALES -SALES ORDER
2. Here you will see the “Sales Order / Quote List” Screen.
3. Now you can either press “Add New” to create a new Sales Order or press “Edit” to modify an existing one. Both of the screens have the same layout.
4. Press “Add New” for a new Sales Order and this screen will appear.
5. Now to enter the information on the Sales Order screen.
5.1 Select Customer Code or Customer Name who placed the order and press “Update”. 5.2 Notice some information is automatically populated. This information is automatically copied from the customer such as tax code and any payment terms so it is important this information is set correctly for the customer. 5.3 Select Quote/Order -Select Quote means the order has not been confirmed. Select Order if the order is confirmed. 5.4 Add additional information as required. |

6. Now to enter the information on the Sales Order Items screen.
6.1 Select Product Code or Description and enter the Quantity Ordered then press “Update” and the Unit Price will appear then change Unit Price as required. 6.2 If you want to enter a special product that you don't hold in stock then just enter the text in the Misc Items column and the price. 6.3 Press “Update” to save the Sales Order. |

7. Now press “Print” Quote or Order on the Sales Order Screen as required. This report will appear.
8. Now press “E-mail” at the top of the Quote or Order to send the document to your customer.
8.1 This screen will appear allowing you to enter the details.
If you have created a Sales Order you should review Projected stock. Projected stock will show you the current stock and outstanding purchase orders and manufacture orders so you can raise new ones as required.
